Description We are looking for an experienced and dependable Receptionist to support daily front office operations in Tampa, Florida. This Long-term Contract position is ideal for someone who enjoys creating a welcoming environment for visitors while keeping administrative and office support activities running smoothly. The role combines reception coverage, hospitality coordination, mail and document handling, and event support in a well-organized office setting.
Responsibilities:
• Welcome clients, guests, and visitors in a courteous manner, offering refreshments and coordinating their needs with internal staff.
• Oversee incoming and outgoing mail, packages, and deliveries, ensuring items are sorted, distributed, and prepared accurately for shipment.
• Maintain office readiness by monitoring and replenishing supplies, snacks, beverages, and kitchen items across shared spaces.
• Keep conference rooms, break areas, supply rooms, and storage spaces clean, organized, and prepared for daily use.
• Provide administrative assistance with document scanning, mailing, faxing, and digital filing, including support for expense-related records.
• Coordinate meeting logistics by arranging catering, lunch orders, Zoom sessions, and room setup for trainings, client meetings, and office events.
• Support travel planning by booking transportation, hotel stays, and conference registrations for team members as needed.
• Assist with special office activities such as client gifts, holiday distributions, birthday recognitions, seasonal décor, onboarding and offboarding coordination, and other assigned projects. Requirements • Previous experience in a receptionist, front desk, or office support role within a detail-oriented environment.
• Ability to manage inbound calls using a multi-line phone system or switchboard with accuracy and professionalism.
• Strong organizational skills with the ability to handle multiple tasks, shifting priorities, and time-sensitive requests.
• Comfortable supporting hospitality, office coordination, mail processing, and administrative duties throughout the day.
• Proficiency with basic office technology and standard business tools for scheduling, scanning, filing, and virtual meetings.
• Clear written and verbal communication skills with a customer-focused approach when assisting guests and internal teams.
