Description We are looking for a highly organized and proactive Executive Assistant to join our team in Columbia, South Carolina. This is a long-term contract position where you will play a pivotal role in supporting executive leadership and ensuring the smooth operation of daily activities. This position offers flexibility and the opportunity to grow into a permanent role as responsibilities expand.
Responsibilities:
• Provide comprehensive calendar management for the North American VP and other senior leaders, ensuring schedules are effectively organized and conflicts are resolved.
• Arrange and coordinate travel plans, including booking accommodations and managing itineraries.
• Support the planning and execution of company events, such as team-building activities and other organizational gatherings.
• Assist in the setup and establishment of office spaces and facilities as needed.
• Stay ahead of executive needs by anticipating requirements and preparing materials in advance.
• Handle incoming and outgoing mail with a high level of confidentiality and discretion.
• Perform recruiting coordination duties, including scheduling interviews and managing candidate communications.
• Utilize Microsoft Office, SharePoint, and other company tools to manage documents and communications.
• Provide technical support for executives, including computer setup and troubleshooting.
• Occasionally work on-site to support in-office activities and operations. Requirements • Proven experience as an Executive Assistant or in a similar administrative support role.
• Strong proficiency with Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint.
• Familiarity with SharePoint and other intranet systems is highly desirable.
• Exceptional organizational and time-management skills with the ability to prioritize tasks effectively.
• Excellent communication skills, both written and verbal, with a detail-oriented approach.
• Ability to handle sensitive information with discretion and maintain confidentiality.
• Tech-savvy with the capability to assist with basic computer setup and troubleshooting.
